The University of Florida Health Proton Therapy Institute (UFHPTI), located in Jacksonville, Florida, has an opening for a Patient Intake Coordinator II to provide information to prospective patients about radiation treatment options UFHPTI offers and to schedule patient consultations. Consultations include appointments arranged at UFHPTI, laboratory for bloodwork, radiology for imaging, and other specialists as needed. This individual will be responsible for handling cancer inquiries for the following areas: head and neck, skin, and other complex anatomical sites. Inquiries are received via email, phone, and physician referrals. This coordinator will be required to respond urgently with compassion and professionalism to ensure there are no delays in care. Coordinator will also facilitate the gathering of medical records, identifying information that is critical to their radiation care, present that information to our clinical team, and scheduling all required consult appointments as instructed by the radiation oncologist.
Coordinator will be responsible for leading an internal, weekly meeting presenting prospective head and neck patients directly to our radiation oncologists to determine eligibility for our radiation programs. The coordinator is responsible for communicating information from this meeting to the prospective patients, clinical team, billing team, and social services as applicable. Coordinator will also be responsible for joining a weekly tumor board conference so we can proactively look for referrals coming from the UF Health surgical team, track those referrals, and follow up as needed.
Qualified candidates should have strong customer service and a minimum of 2 years’ experience working in healthcare. We are looking for a positive individual who is compassionate, detailed -oriented and eager to help prospective patients access our services. Candidate must be proactive and follow through on all assignments. Above average verbal and written communication skills are required. Cross departmental collaboration is necessary with clinical and administrative teams. This candidate must perform well under stress and capable of planning, organizing, setting priorities and solving problems in a time sensitive setting. Candidate must be able to work as a team and as an individual. Must be able to use phone, fax, and computer including Microsoft Office Word, Outlook and Excel. Associates degree or Medical Assistant certificate is preferred. Prior oncology experience is preferred.
